Buyer's Guide

# Cleaning Business Software: What Actually Matters

Most cleaning software demos sell you dashboards. What actually moves money is scheduling your crews, proving the work got done, and closing payment the same day.

## The four features that earn their cost

### Recurring job scheduling

Cleaning is a recurring business. If you have to rebuild next month's schedule by hand, the tool is costing you time instead of saving it.

### Photo proof tied to the job

Not a text thread. Photos attached to a specific job, timestamped, viewable by the customer. This is what ends credit-backs.

### Approval plus payment in one step

Customer reviews, approves, pays, tips. Every extra step between finishing a job and collecting is a day added to your receivables.

### Something your crew will open

If it takes more than a minute on a phone between houses, your crew will skip it and you are back to guessing.

## Start from your actual bottleneck

Cleaning companies usually shop for software after a specific thing goes wrong. A missed appointment. A dispute that cost a refund. An invoice that sat for six weeks. Buy against that bottleneck, not against a feature grid.

If your bottleneck is scheduling chaos, a scheduler solves it. If your bottleneck is customers questioning quality, no scheduler on earth will help you. You need evidence. That distinction decides which category of tool you should even be looking at.

## What a CRM does and does not do for you

Search for cleaning software and half the results will pitch you a CRM. A CRM is built to manage a sales pipeline. Most residential cleaning companies do not have a pipeline. They have recurring customers and a referral flow.

What you actually need is job history attached to each customer, so anyone answering the phone can see the last three visits and what was flagged. That is a job record, not a deal stage. Save the CRM spend until you are running real outbound.

## Proof of work is the feature nobody demos well

Every cleaning company we have worked with has eaten a refund on a job that was done correctly. It is rare enough to feel like bad luck and frequent enough to wreck a month.

Photo proof changes the economics of that conversation. When a customer questions the work, you send the record instead of a credit. When an employee gets accused, they have a defense. We wrote the full breakdown in [proof of work for service businesses](https://pinstripeservices.com/proof-of-work-service-business), including what it did for a real client.

Train crews to photograph the work and not the home. Cleaned surfaces, finished rooms, emptied bins. Never personal items, mail, or anything identifying the residents.

## Quotes should not arrive as a PDF

Most cleaning quotes lose to speed and friction, not price. If your estimate lands as an attachment the customer has to pinch-zoom on a phone, you have added a step between them and a yes, and every step costs you jobs.

What to look for: the estimate opens as a page on a phone, approve or decline is one tap, and the customer gets confirmation immediately. Also look for a stated date the price is held through. A real hold date helps people plan. A countdown timer just teaches them not to trust you.

Fleet reports approval rate and median time to a decision from your own sent estimates, split by how fast you responded, so you can see what your own follow-up speed is costing you. We break that down in [estimate approval software](https://pinstripeservices.com/estimate-approval-software). Text notifications are not live yet, so do not buy any tool on that promise alone.

## 'On the way' updates, without GPS tracking

The complaint customers actually make is not about price. It is sitting home all morning wondering whether anyone is coming.

You do not need vehicle trackers to solve that. In Fleet, a cleaner heading to a job can turn on a simple update and the customer sees something like "about 3 miles away, updated 2 minutes ago" on their job page. Opt-in per appointment, triggered by the cleaner, and deliberately no map, no coordinates, and no location history.

Be skeptical of anything sold to you as fleet telematics at this size. Hardware and live maps solve a logistics problem most small cleaning companies do not have, and they turn your crew's day into a tracked route. A courtesy heads-up is the part the customer wanted.

## Pricing: what you should expect to pay

Field software for a small crew generally runs somewhere between free for a single operator and a few hundred a month once you are dispatching a team. Watch for per-user pricing that punishes you for hiring, and for payment processing markups stacked on top of the subscription.

We publish [Fleet's pricing](https://pinstripefleet.com/pricing?utm_source=pinstripeservices&utm_medium=cleaning_guide&utm_campaign=fleet_product) openly for that reason. Free to start, Professional at 79 a month, Enterprise for larger operations.

## Software will not fix unclear numbers

One honest warning. If you do not know your cost per job, no scheduling tool will make you profitable. It will just make you efficiently unprofitable. Our free [job costing and pricing sheet](https://pinstripeservices.com/service-pricing-calculator) works out your real cost per crew hour, your break-even rate, and what to quote.

Get the books right in parallel. Our [bookkeeping service](https://pinstripeservices.com/services/bookkeeping) exists because operations software and clean financials solve two halves of the same problem, and the [bookkeeping guide](https://pinstripeservices.com/small-business-bookkeeping-guide) is a decent free starting point.

## Want to see it running on your own jobs?

Fleet is free to start. If you would rather talk through your operation before touching software, we do that too.
