Why We Built It

# Proof of Work: How Service Businesses End Payment Disputes

A customer says the job was not done right. Your employee swears it was. Nobody has evidence, so you eat the cost. Here is how photo proof of work fixes that permanently.

## What proof of work actually solves

### Disputes end in seconds

Timestamped photos from inside the job mean the conversation stops being a debate and starts being a record.

### Admin time comes back

No more chasing crews for details or digging through texts to figure out who did what and whether it got paid.

### Employees stop feeling accused

Your crew gets a way to prove they did the work. That protection matters more to good employees than most owners realize.

### Payment closes on the spot

The customer reviews the work, approves it, pays, and tips from the same screen. No invoice chase.

## The problem started with a bookkeeping client

We did not set out to build software. We were doing the [monthly bookkeeping](https://pinstripeservices.com/services/bookkeeping) for an in-home cleaning company, and the same two questions kept showing up in the reconciliation every month. Did this customer actually pay us. And why did we credit back that job.

The pattern was always the same. A crew cleans a house. Days later the customer calls and says a room was skipped or a surface was missed. It was rare, but rare is enough when a single credit wipes out the margin on three jobs. The owner had no way to know who was right, so she refunded to keep the relationship. That is a bookkeeping problem on paper and an operations problem in reality.

## Why we built the app instead of writing a process doc

We tried the low-tech version first. Crews texting photos to the owner. It fell apart in a week. Photos landed in three different threads, nobody knew which job they belonged to, and the owner became the human filing cabinet for every image.

What was actually needed was simple, and nothing on the market did it without dragging a whole enterprise dispatch suite along with it. Assign the job. Let the employee capture photos tied to that specific job. Let the customer see them, approve the work, and pay. That is [Pinstripe Fleet](https://pinstripefleet.com/?utm_source=pinstripeservices&utm_medium=pillar&utm_campaign=fleet_launch).

We were deliberate about privacy. Crews are trained to photograph the work, not the home. The cleaned counter, the finished floor, the emptied bin. Not family photos, not mail on the table, not anything that identifies the people who live there.

## What changed for the cleaning company

Three things moved, and they moved in the same quarter.

Cleaning frequency tightened. Because approval and payment now close on the day of service, rebooking happens while the customer is still satisfied instead of two weeks later. That client is turning over appointments roughly 33 percent faster between cleanings.

Admin time dropped by about five hours a week. Most of that was the owner chasing payment status and relitigating job quality over the phone.

And morale went up, which we did not predict. Employees who get accused of sloppy work they did not do carry that around. Handing them a way to prove the job was done right changed how the crew felt about being sent out alone.

## Who this fits

Any business where the work happens somewhere you are not. Cleaning and janitorial, landscaping, mobile detailing, snow removal, property maintenance, HVAC, inspections, courier. Fleet groups these on its [industries page](https://pinstripefleet.com/industries?utm_source=pinstripeservices&utm_medium=pillar&utm_campaign=fleet_launch), and the [feature breakdown](https://pinstripefleet.com/features?utm_source=pinstripeservices&utm_medium=pillar&utm_campaign=fleet_launch) covers scheduling, dispatch, media capture, the customer portal, and payments.

It also fits solo operators. If you are the only person doing the work, proof of work is how you stop arguing about it and get paid the same day.

If the underlying problem is really that your numbers are unclear rather than your field operations, start with [consulting](https://pinstripeservices.com/services/consulting) or the [business systems guide](https://pinstripeservices.com/business-systems-for-small-business).

Start with Fleet if the problem is in the field. Book a consult if you are not sure whether the problem is operations, books, or both.
