Why We Built Pinstripe Fleet

The story behind Pinstripe Fleet: how a bookkeeping client's 5-hour weekly admin problem led us to build a field operations app for scheduling and payment.

We didn't set out to build a field operations platform. We set out to fix a problem we kept seeing on the bookkeeping side of our business, and Pinstripe Fleet is what happened once we stopped waiting for someone else to solve it.

The bookkeeping problem that started it

When you do bookkeeping and consulting work for small businesses, you see the same pain over and over. Owners lose hours every week chasing customers for payment. Employees have no clean way to prove they finished a job. Disputes come in without evidence on either side, and the owner ends up playing detective between the customer and the crew.

The bookkeeping side of that mess is what lands on our desk. Reconciliations that don't match. Payments sitting in limbo. Refunds issued because nobody could prove the work happened. That is not a bookkeeping problem. That is an operations problem that shows up in the books.

The cleaning client that pushed us over the edge

One of our bookkeeping clients runs an in-home cleaning company on Long Island. Great business, loyal customers, hardworking crew. But every week the owner was losing about 5 hours to two conversations she never wanted to have:

  • "Did this customer actually pay us?"
  • "The customer says the bathroom wasn't cleaned. Did we clean it?"

Disputes were rare, but they hit hard when they happened. The crew took it personally. The owner had no way to back them up. And in the meantime, the next appointment was already on the calendar, so nobody had time to sit down and untangle it.

What we built

Pinstripe Fleet is a mobile-first platform for any business that sends people to a location, completes work, and needs to get paid. It handles the whole loop:

  • Scheduling and dispatch so the right employee shows up at the right place
  • Proof-of-work photo capture at the job site, designed so employees can document the work without capturing personal customer information in the frame
  • Customer approval from a secure link, with no app install required on their end
  • Tipping and payment through Stripe Connect on the same approval link
  • Clean records that feed into the books so nothing has to be reconstructed later

It's multi-tenant, meaning any business can run inside Fleet with its own data cleanly separated from every other business on the platform.

What happened with the cleaning client

Once Fleet was live for their team, the pattern changed fast:

  • The owner got back about 5 hours a week that used to disappear into admin
  • Turnaround between appointments got roughly 33% faster because the paperwork stopped stacking up between visits
  • Employee morale went up. When you can prove the work, you don't have to defend it in a phone call two days later
  • Payment disputes dropped to almost nothing because customers approve and pay on the same link where they can see the proof

Same crew, same customers, same houses. Different operating system.

Who Fleet is for

Any business that schedules people, sends them somewhere, completes work, and needs to get paid. That covers a lot of ground:

  • Cleaning services (residential and commercial)
  • Mobile car wash and detailing
  • Landscaping and lawn care
  • HVAC, plumbing, and handyman work
  • Pest control
  • Pool service
  • Moving, courier, and delivery
  • Inspections and installations

It's also useful for single-owner operations who don't have employees yet but still need a clean way to prove work and get paid without playing phone tag.

How it fits with the rest of what we do

Fleet doesn't replace our bookkeeping, consulting, or automation work. It reinforces it. The businesses we already work with are the ones we built this for, and the ones running Fleet get cleaner numbers, fewer disputes, and less friction inside their own operation.

If you've ever finished a Monday morning already tired from chasing customers for payments or answering complaints you can't verify, Fleet was built for that exact Monday.

Try it or talk to us

Either way works. If you want to poke around the product first, the Fleet app is live at pinstripefleet.com. If you'd rather have us look at your operation first and tell you whether Fleet actually fits, that's what our consulting side is for.
